Subject: Graduation Ceremony for USU Graduates – Period II A.Y. 2024/2025

In relation to the implementation of the Universitas Sumatera Utara (USU) Graduation Ceremony for Period II Academic Year 2024/2025, to ensure its smooth execution, the following matters are hereby conveyed:

1. Graduation Registration

1.1. Registration at the Faculty/Postgraduate School level must be completed no later than January 3, 2025.
1.2. Submission of graduation files to the Admission and Academic Events Section, Academic Bureau (2nd Floor BPA USU) no later than January 8, 2025 at 3.00 PM WIB.
1.3. The Graduation Ceremony will be held on February 6–7, 2025.
1.4. Heads of Academic Subdivisions must coordinate registration with Study Programs/Departments.
1.5. Registration is only conducted at the Faculty/Postgraduate School, not at the Academic Bureau.
1.6. Graduates’ biodata must be verified, particularly: place & date of birth, photo, religion, alumni number, previous school/university, thesis/dissertation title, supervisor & co-supervisor. No column should remain blank.
1.7. Graduation fees (as per Rector’s Decree No. 1465/UN5.1.R/SK/SPB/2019):

• Non-UKT students: Rp600,000 per person.
• UKT-based students: exempted from graduation fees.

2. Final Examination

Final examinations must be scheduled appropriately to avoid delays in file submission. Students who fail to meet requirements are advised to join the next graduation period.

3. Graduation Requirements

Graduation candidates must:

• Complete all courses and final examinations.
• Settle tuition fees, outstanding balances, graduation fees, and dormitory charges.
• Obtain Library Clearance from USU Library.
• Have Eligible status in PDDIKTI.
• Complete data entry at tracerstudy.usu.ac.id.
• Register at their Faculty/Postgraduate Academic Subdivision and submit online registration proof, tuition payment slips, dormitory payment proof, and library clearance.

4. Documents from Faculty/Postgraduate School

The Academic Subdivision must submit graduation files to the Academic Bureau, including student lists (soft & hard copies), photos, verification reports, clearance letters, eligible status, and graduation call lists. Attendance at the rehearsal is mandatory.

5. Graduation Sash & Gown

Faculties must provide sashes & gowns according to the specified standards (130 cm length, green with yellow lining).

6. Graduation Photo for Diploma

Female graduates wearing hijab must submit a notarized statement (Rp10,000 stamp duty).

7. Diploma

Diplomas will be symbolically presented by the Rector during the ceremony.

8. Attire

• Male: white shirt, black trousers, tie (no T-shirts or jeans).
• Female: Indonesian national attire (kebaya & wiron skirt; no pants or short skirts).
