With due respect, in follow-up to the letter from the Head of the Library of Universitas Sumatera Utara Number 9336/UN5.4.1.K/TA.01/2025 dated May 20, 2025, regarding the Request for an Appeal to Study Programs Concerning the Submission of Students’ Final Projects to the Library, in relation to the submission of students’ final projects to the library through independent upload, there are still several matters that do not meet the established requirements, including:

  1. Students do not have a students.usu.ac.id email.
  2. Students forget their email password (password reset must be done through SILA, not independently).
  3. Missing signatures of thesis advisors, dean, and/or authorized parties for approval.
  4. Abstracts without titles.
  5. Data entry and file upload on the repository website are not in accordance with independent upload guidelines (guidelines have already been sent to the Study Program).
  6. Students tend to conduct the independent upload only in the last days of the graduation registration period, citing delays at the Lecturer and Study Program level.
  7. Point number 6 results in long queues for the issuance of the Library Clearance Letter (SKBP).

This situation affects the university repository process and may impact the smoothness of the students’ academic administrative procedures. Therefore, we hereby convey to the Deans of faculties within Universitas Sumatera Utara to urge all study programs in each faculty to pay close attention to the applicable requirements regarding the submission of final projects to the library. It is expected that study programs conduct verification of the completeness of students’ final projects before the independent upload process.
